Scanning Steps:

  1. Create a connection to the scanner (only done once)

  2. Activate your scanning software

  3. Prepare the copy machine

  4. Scan the document to your computer

  5. Bring copier back online

  6.  Save your scanned document

  7. Setup copier for printing from your computer

1.      Create a connection to the scanner (You only need to do step 1 once.)

a.       From your computer, go to the Start Menu.

b.      Go to Programs.

c.       Go to Network ScanGear.

d.      Go to 1.1.

e.       Select ScanGear Tool. The Network ScanGear tool will open.

                                                   i.      Inside the ScanGear tool, click the “Discover” button.

                                                 ii.      Click on the scanner (Product) name to highlight it. (Scanner name is circled in red below).

                                                iii.      Press the “Select” button.

                                               iv.      Press the “Test” button. A pop-up box will appear stating that the selected scanner is available for scanning. (See picture below.)

                                                 v.      Press the “Ok” button on the pop-up box.

                                               vi.      Press “Exit” to exit the ScanGear tool.

 

2.      Activate your scanning software

a.       Open the Start Menu.

b.      Go to Programs.

c.       Go to Microsoft Office Tools.

d.      Select Microsoft Document Imaging. The Microsoft Document Imaging program will appear.

                                                   i.      Inside the Microsoft Document Imaging window, press the scan icon. (Scan icon circled in red below.)

 

                                                 ii.      The Microsoft Document Scanning program will appear (see below).

 

                                                iii.      Inside Microsoft Document Scanning, press the scan button. (Circled in red in the above picture.) A pop-up box will appear (only one time) asking which scanning software you want to use.

                                               iv.      (Step iv. is required only one time.)

From within the pop-up box asking which scanning software you want to use, select Network ScanGear 1.1. The Network ScanGear program will appear. (See Network ScanGear picture in step 4a below.)

 

3.      Prepare the copy machine

a.       Put the document to be scanned on the copier’s document feeder.

b.      Press the copier’s “Scan” button.

c.       On the copier’s display press “Online.”

 

4.      Scan the document to your computer

      

a.       From within the Network ScanGear program, press the “Scan” button. (Circled in red in picture below.)

       

b.      (Step b is required only one time.)

                                               i.      A pop-up box will appear stating that the program is about to launch the scanner driver. (See picture below.) If it does not appear, skip to step c.

 

From within the Launching Scanner Driver pop-up box, select the check box which says “Don’t show me this dialog again,” (circled in red in above picture), then click “OK.”

 

c.       If your document does not scan into the computer, press the “Scan” button in the Network ScanGear window again. You will see a pop-up box saying that the pages are being transferred. (See picture below.)

 

     

d.      Once the document is scanned you will see a pop-up message asking if there are any more pages to be scanned. Press “Cancel” to this message. (See picture below.)

 

 

e.       The scanned document will show up in the Microsoft Office Document Imaging window as pictured below.

 

               

5.      Bring copier back online

a.       Press “Offline” on the copier’s display.

b.      Press the copier’s “Copy” button to return it to a copy state.

Note: If you do not complete this step the copier will remain in “network scan mode” and no one will be able to make any copies.

 

      6.      Save your scanned document

The best way to transfer scanned documents to others is to save them to Word, instructions below:

 

a.       To save your scanned image as a Word document, exactly as how it looks:

i.       View the scanned document in Microsoft Office Document Imaging.

ii.     Inside Microsoft Office Document Imaging:

§         Go to Edit à Select All Pages.

§         Then go to Edit à Copy Image.

iii.    Open a blank Word document and click Paste on the Word toolbar.

 

b. To convert your scanned document to an EDITABLE Word document:

i.           View the scanned document in Microsoft Office Document Imaging.

ii.          Inside Microsoft Office Document Imaging, go to File à Send text to Word.

 

c.       TIFF: You can save the document as a “.tif” file and open it in Microsoft Office Document Imaging or the Paint program.

 

d. ADOBE: In order to save the scanned document as an adobe file, you will need to first save it as a “.tif” file from the Microsoft Office Document Imaging program. Then, open Adobe Acrobat, and open that “.tif” file from within Acrobat. Finally, from inside Acrobat, save the file as a “.pdf” file.

Note: For this you will require the full version of Acrobat.

 

7.       Setup copier for printing from your computer

a.       Complete step 1 in these instructions.

b.       Open the following folder:

\\install\Limited_License\PrintCopyScan\Canon\Canon Scanner\Cannon 3300 Printer Setup\Pcl\Drivers\uk_eng\prnsetup

c.       Double click setup.exe.

d.       Go through the following installation steps:

                                                               i.      Click accept the terms in the license agreement. Click next.

                                                             ii.      Click “Search for Network Port in Install.” Click next.

                                                            iii.      Do not install Canon NetSpot Suite Service. Click next.

                                                           iv.      Select PCL6 Printer Driver. Click next.

                                                             v.      Click the “Add/Delete…” under ‘Printer List for Driver Installation’.

                                                           vi.      Select the Canon printer in your building. Click the “Add to the Printer List for Driver Installation” button. Click OK. Click next.

                                                          vii.      Click Start.

                                                        viii.      Click “Yes, I want to restart my computer now.” Then click Exit.
