Scanning for OCR (Optical Character Recognition)

OCR (Optical Character Recognition) is a technology that allows users to work inside of a document after it has been scanned. OCR converts a scanned image into an electronic document. Using OCR can be much faster than re-typing the document from scratch.

OCR can be initiated from the copy machines located in the Finance Department, Manager's office, and Engineering Department.

The procedure for OCR takes several steps:

  1. Scan the document,

  2. Ready the document for an OCR program using PaperPort, and

  3. OCR the document and save it in a specified format (i.e. Word, PDF, text, etc.) using TextBridge.

  1. Type in your pass code. Press Enter.

  2. Select Network Scanning tab.

  3. Under Template Name, select your login id.

  4. Select Output Format tab.

    1. Select File Format button.

    2. Select Multipage TIFF (if not already selected.)

    3. Select Save tab.

  5. Optional: Double-sided scanning:

    1. Select Image Adjustment tab.

    2. Select Sides Scanned tab.

    3. Select 2 sided.

    4. Select Save.

  6. Place your item to be scanned on the paper feeder.

  7. Press copier's Start button.

  8. Go to Part B, PaperPort.

Finance or Engineering copy machine

  1. If necessary, type in your pass code. Press Enter.

  2. Select Network Scanning tab.

  3. Under Templates select your login id.

  4. Select Image Adjustment tab.

    1. Select Stored Image Settings button.

    2. Select Output Image Format button.

    3. Select  Multipage TIFF button (if not already selected.)

    4. Select Save.

  5. Optional: Double-sided scanning: 

    1. Select Image Adjustments tab.

    2. Select Sides Imaged button.

    3. Select 2 sided.

    4. Select  Save.

  6. Place your item to be scanned on the paper feeder.

  7. Press copier's Start button.

  8. Go to part B, PaperPort.

B. PaperPort

  1. Go back to your computer and view the scanned document in PaperPort:

    1. Open the PaperPort program (go to Start Menu --> PaperPort).

    2. View the scanned document. For Manger's Office copier users, the document will be named "scan," for Engineering or Finance copier users, the document will be named "DOC."

     

    Note: In Figure 1 below, the name of the scanned document is DOC (circled in RED.)

  1. Right click on the scanned document, and select Export from the pop-up menu (see Figure 2 below).

    1. Enter file name (for example, DOCtiff)

    2. Enter file type "Multi-Page TIFF - Uncompressed (*.TIF)." (See Figure 3 below.)

    3. Press save.

  2. Continue to part C, TextBridge.

C. TextBridge

  1. Open the TextBridge program: (Start Menu -> Programs -> TextBridge Pro Millenium BE -> TextBridge.)

  2. From within TextBridge, open the scanned document:

    1. Go to the TextBridge File Menu -> Open.

    2. Browse to C:\ScanSoft Documents (see Figure 4 below.)

    3. Select the scanned document (in this example, DOCtiff.)
    4. Click Open.

  1. On the TextBridge taskbar, click Recognize.
  2. Save document in preferred format:
    1. In TextBridge, select File -> Save As.
    2. Select a location to save the file.
    3. Type in the file name.
    4. Under "Save as Type," select the format you would like to save in.

    Note: TextBridge allows you to save in many formats, including Word, Excel, PDF, PostScript, WordPerfect, Rich text, etc.

     

  3. The document will open in the Program you selected. For example, if you saved the TextBridge document as a Word document, it will open up in Word. You can then edit it in Word.
