1.
Open MS Outlook
2.
Click on VIEW,
place your mouse on Go To and the second menu will open.
3.
Click on
Folder

4.
Place your mouse on
the + beside Public Folders and click so that it opens to show
Favorites and All Public Folders.
5.
Place your mouse on
the + beside All Public Folders and click so that it opens to show
a list of Calendars and Folders.
6.
Select Meeting Room
Reservations and Click OK.

Open the Meeting Room Reservations Calendar.
-
Click on the New button (first icon in the
second row).
-
Fill out the form
that appears.
-
In the Subject line enter Name
of the Event
-
In the Location line enter one of
the following locations:

Council Chamber |
 |
First Floor Conf. Room |
 |
Second Floor Conf. Room |
 |
Third Floor Conf. Room |
 |
Personnel Training Room |
-
In the Start Time line enter the
beginning day and time that the room will be reserved for. (The
drop-down arrows may also be used to select the date or time.)

DO NOT CHECK THE All day event BOX.
-
In the End Time line enter the
end day and time that the room will be reserved for. (The drop-down arrows
may also be used to select the date or time.)

DO NOT CHECK THE Reminder BOX. This is
not likely to work in this calendar, as it does in your personal calendar.

In the Show time as box, click on
the drop-down arrow to select Busy or Tentative, as
needed.

In the Comment Section, Please add the
name of the Contact person, their phone number and details about the meeting
(i.e. actual start time of the meeting).

When all information is entered, Click on
the Save and Close button.
You may edit any of your
items as needed. Please contact the Town Clerk’s Office if changes need to be
made to items that you did not initiate, or if you have further questions.
You may copy this
information to your personal calendar by following these steps.

Before you Save and Close the item,
click on the Copy to Personal Calendar Button.

Or to Open an item double click on
the item and then follow the step above.

Place
your mouse on the day of the particular month that you want to view on
the calendar in the right column. The day that you select will be highlighted
in a gray box; in this example the selected day is March 4th.

Use
the scroll bar to move up and down the appointment time.

Open the Meeting Room Reservations Calendar
-
Right Click on the dark gray bar
between the words ‘Meeting Room Reservations’ and the ‘Address’
-
Click on Add
to Outlook Bar.

Open
Microsoft Outlook
-
Place
mouse on the Meeting Room Reservations Calendar on the Outlook
Shortcuts Bar.
-
Click
on the icon.
