1. Sending the document out for reviewa. On the File menu, point to Send to, and click Mail Recipient (for Review). b. In the To box, type the names of the reviewers, and then click Send. i. When the reviewers receive the document, the Reviewing toolbar is displayed and the Track Changes feature is turned on. Reviewers can return the document to you by clicking the Reply with Changes button on the Reviewing toolbar.
2. Merging documents a. When you receive the reviewed document in e-mail, you'll automatically be prompted to merge the changes into the original document. Click Yes to proceed with this request.
3. Turn tracking on or off a. Click “Track Changes” from the “Tools” menu. When the Track Changes feature is enabled, TRK appears on the status bar at the bottom of your document. When you turn off change tracking, TRK is dimmed.
4. Reviewing changes and finalizing text a. To review the changes and preview the text, switch the display mode by using the Display for Review box. Display modes include the following: i. Final Showing Markup - Markup that shows the deleted text in balloons and the inserted text marked inline. ii. Final - The document as it would appear if you accepted all the changes. (Uniform text, no color variations.) iii. Original Showing Markup - Markup that shows the inserted text in balloons and the deleted text marked inline. (Author’s viewpoint). iv. Original - The document as it would appear if you rejected all the changes. b. With markup visible, use the Next and Previous buttons to locate each suggested change. i. To accept a change, click Accept Change. ii. To reject a change, click Reject Change.
5. Review and Remove Markup Items from Your Word 2002 Document Before you distribute a document electronically, you may want to verify that markup (tracked changes and comments) has been removed from or incorporated into the document. a. To quickly remove all tracked changes from a document, select Accept All Changes in Document or Reject All Changes in Document. b. To quickly remove all comments from a document, click Delete All Comments in Document. |
